{"id":9462,"date":"2020-12-17T22:35:33","date_gmt":"2020-12-17T22:35:33","guid":{"rendered":"http:\/\/sites.reading.ac.uk\/tel-support-test-2\/?p=9462"},"modified":"2025-10-01T16:19:38","modified_gmt":"2025-10-01T16:19:38","slug":"breakout-rooms-in-microsoft-teams","status":"publish","type":"post","link":"https:\/\/sites.reading.ac.uk\/TEL-Support-Staff\/breakout-rooms-in-microsoft-teams\/","title":{"rendered":"Breakout Rooms in Microsoft Teams"},"content":{"rendered":"<p>Breakout rooms in Microsoft Teams Meetings enables the meeting organiser to split an online class into separate groups for discussions, projects, and collaborative work. \u00a0The guidance below shows you how to set up, run and close breakout rooms in Teams.<\/p>\n<p>Before setting up breakout rooms, there are some important things to be aware of:<\/p>\n<ul>\n<li><strong>The meeting organiser can allow presenters to manage breakout rooms. <\/strong>Attendees are not able to create and open breakout rooms.<\/li>\n<li><strong>Breakout rooms can only be set up in the desktop app<\/strong> (they can NOT be set up in the browser or mobile app). Students however can participant in breakout rooms from any platform.<\/li>\n<li>You can create Breakout Rooms for\u00a0<strong>scheduled or channel meetings<\/strong>. It may take a few moments for the icon to appear after joining a room.<img class=\"size-full wp-image-9474 aligncenter\" src=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Icon.png\" alt=\"Teams breakout rooms icon is two inset squares\" width=\"827\" height=\"87\" \/><\/li><li>Choose how many rooms you'd like to create. A maximum of 50 breakout rooms can be created in one session.<\/li><li>Choose whether you'd like to randomly assign your participants to groups, or if you would like to choose which group they're assigned to.<\/li><li>Click <strong>create rooms.<\/strong><strong><a href=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Create-rooms.png\"><img class=\"size-full wp-image-9473 aligncenter\" src=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Create-rooms.png\" alt=\"Screenshot of the breakout creation screen with four rooms, automatic allocation, and the create buttonbreakout rooms \" width=\"501\" height=\"421\" \/><\/a><\/strong><\/li><li>The groups remain closed until you manually open them. This allows you to have the groups set up at the start of the meeting and open them when ready during the session. You can only assign people to the groups once the meeting has started.<\/li><\/ol><p><a href=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Rooms-are-closed.png\"><img class=\"wp-image-9475 aligncenter\" src=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Rooms-are-closed.png\" alt=\"\" width=\"506\" height=\"564\" \/><\/a><\/p><blockquote><p><strong>Note<\/strong>: This is the only time you can choose to assign students automatically to rooms. You won't be able to choose this option later.<\/p><\/blockquote><h2><strong>Add another breakout room<\/strong><\/h2><p>Once you've set up your breakout rooms, it's possible to add further rooms if needed. Within in the breakout room window, choose <strong>Add room<\/strong>.<\/p><p><a href=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Add-new-room-1.jpg\"><img class=\"aligncenter size-full wp-image-9516\" src=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Add-new-room-1.jpg\" alt=\"Screenshot show the option to Add Room highlighted\" width=\"315\" height=\"391\" \/><\/a><\/p><p>The new breakout room will appear at the bottom of the list:<\/p><p><a href=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Add-room-2.jpg\"><img class=\"aligncenter size-full wp-image-9517\" src=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Add-room-2.jpg\" alt=\"Screenshot showing the newly-created room added to the bottom of the list of rooms\" width=\"313\" height=\"393\" \/><\/a><\/p><h2><strong>Delete a breakout room<\/strong><\/h2><p>Click on the ellipsis to the right of the breakout room name and choose <strong>Delete room<\/strong><\/p><p><a href=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Delete-room.jpg\"><img class=\"aligncenter size-full wp-image-9518\" src=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Delete-room.jpg\" alt=\"Screenshot showing the delete room option highlighted within the room settings menu\" width=\"297\" height=\"489\" \/><\/a><\/p><h2><strong>Rename breakout rooms<\/strong><\/h2><p>Once you've created your breakout rooms, they are assigned default titles (Room 1, Room 2 etc). Renaming isn't essential, but you might find appropriate rooms names provides some additional context to your session.<\/p><ol><li>Hover over the room name and the <strong>Closed<\/strong> label will become an ellipsis (***). Tools such as promoting to presenter, screensharing, recording and removing others from that room is enabled for them.<\/p><\/blockquote><h2><strong>Assigning students to breakout rooms<\/strong><\/h2><p>If you chose to assign students <strong>Automatically<\/strong> when creating the rooms, participants will already be assigned to different breakout rooms.<\/p><p><strong>To manually add participants to rooms:<\/strong><\/p><ol><li>Expand the list under <strong>Assign participants.<\/strong><\/li><li>Hover over the student names until checkboxes appear. Choose students by selecting the checkboxes.<\/li><li>Select <strong>More options button<\/strong> and choose a room from the list.<\/li><li>Repeat this process until all students have been assigned to rooms.<img class=\"aligncenter size-full wp-image-9505\" src=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Assign-students-1.jpg\" alt=\"Screenshot of how to assign students to breakout rooms in Teams. They can be <strong>automatically sent to breakout rooms<\/strong>, or they can be <strong>given the choice to join<\/strong>. To set these options<\/p><ol><li>Click on the ellipsis at the top of the breakout room window and choose <strong>Room settings<a href=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Students-join-rooms-1.jpg\"><img class=\"aligncenter size-full wp-image-9507\" src=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Students-join-rooms-1.jpg\" alt=\"A screenshot showing options for setting how participants move into breakout rooms. The 'Room Settings' option is also highlighted from the dropdown menu.\" width=\"310\" height=\"267\" \/><\/a> <\/strong><\/li><li>If you want students to be forced to join a room, ensure the <strong>Automatically move people into opened rooms <\/strong>is ticked.<\/li><li>To allow students to move between their breakout rooms and the main room, e.g. to ask a question, ensure the option <strong>Let people go back to the main meeting<\/strong> is ticked.<a href=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Students-join-rooms-2.jpg\"><br \/><img class=\"aligncenter size-full wp-image-9508\" src=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Students-join-rooms-2.jpg\" alt=\"A screenshot showing the highlighted option 'Automatically move people into opened rooms' \" width=\"310\" height=\"197\" \/><\/a><\/li><\/ol><p>Students will see a 10-second countdown banner prior to joining the breakout room.<\/p><h2><strong>Move participants between breakout rooms<\/strong><\/h2><p>You're able to move students between breakout rooms if required. <strong>However this is currently only possible when the breakout rooms are closed. <\/strong><\/p><ol><li>In the breakout room window, expand the room information.<\/li><li>Click the checkbox beside the name of the people you wish to move.<\/li><li>Click <strong>Assign.<\/strong><\/li><li>Select the name of the room you wish to move the students to.<\/li><\/ol><p><a href=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Move-rooms.jpg\"><img class=\"aligncenter size-full wp-image-9509\" src=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Move-rooms.jpg\" alt=\"Screenshot showing highlighted expanded room information, one selected student, and a room four chosen to move that student into.\" width=\"454\" height=\"449\" \/><\/a><\/p><h2><strong>Make an announcement in all breakout rooms<\/strong><\/h2><p>The meeting organiser can send an announcement in the meeting chat to all breakout rooms. This is useful for announcing an approaching finish time, or prompting students of the further points for discussion. To make an announcement in all breakout rooms:<\/p><ol><li>In the breakout rooms window, click <strong>Make an announcement.<a href=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Announcement.jpg\"><img class=\"aligncenter size-full wp-image-9510\" src=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Announcement.jpg\" alt=\"Screenshot showing the 'Make an announcement' option highlighted at the top right of the screen.\" width=\"260\" height=\"273\" \/><\/a><\/strong><\/li><li>Write your announcement in the box and press <strong>Send<\/strong>. The message will be sent to all breakout rooms and will appear in their chat windows.<\/li><li>Announcements will show up as Important! in the room chat:<a href=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Announcement-Important.jpg\"><img class=\"aligncenter size-full wp-image-9525\" src=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Announcement-Important.jpg\" alt=\"Screenshot of the Announcement tool in breakout room chat\" width=\"497\" height=\"93\" \/><\/a><\/li><\/ol><blockquote><p>Students can respond to the announcement and even @mention the organiser if needed.<\/p><\/blockquote><h2><strong>Joining breakout rooms as the organiser<\/strong><\/h2><p>The organiser of the session is able to join any of the breakout rooms and move between them one at a time. To enter a breakout room:<\/p><ol><li>Click on the ellipsis beside the room name and select <strong>join room<a href=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Join-room-as-organiser.jpg\"><img class=\"aligncenter size-full wp-image-9511\" src=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Join-room-as-organiser.jpg\" alt=\"Screenshot showing the 'join room' option highlighted for joining the room as the organiser. This option is first in the dropdown list.\" width=\"314\" height=\"464\" \/><\/a><\/strong><\/li><\/ol><\/div><\/div><\/div><div class=\"ea-card sp-ea-single\"><h3 class=\"ea-header\"><a class=\"collapsed\" id=\"ea-header-94642\" role=\"button\" data-sptoggle=\"spcollapse\" data-sptarget=\"#collapse94642\" aria-controls=\"collapse94642\" href=\"#\" aria-expanded=\"false\" tabindex=\"0\"><i aria-hidden=\"true\" role=\"presentation\" class=\"ea-expand-icon eap-icon-ea-expand-plus\"><\/i> Closing Teams breakout rooms<\/a><\/h3><div class=\"sp-collapse spcollapse spcollapse\" id=\"collapse94642\" data-parent=\"#sp-ea-9464\" role=\"region\" aria-labelledby=\"ea-header-94642\"> <div class=\"ea-body\"><h2><b class=\"ocpLegacyBold\">Close breakout rooms<\/b><\/h2><p><span style=\"font-size: 16px\">When you'd like to stop the breakout rooms and pull everyone back to the main room, you can either close all rooms at once, or choose to close individual rooms.\u00a0<\/span><\/p><p>To close rooms all at once:<\/p><ul><li>In the breakout room window, click <strong>Close rooms<\/strong> to close all rooms simultaneously.<strong><a href=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Close-all-rooms.jpg\"><img class=\"aligncenter size-full wp-image-9522\" src=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Close-all-rooms.jpg\" alt=\"A screenshot showing the 'Close room' button highlighted to close all rooms at once\" width=\"308\" height=\"453\" \/><\/a><\/strong><\/li><\/ul><p>To close rooms individually:<\/p><ul><li>Click the room's ellipsis *** and click <strong>Close room<\/strong>.<a href=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Close-indiv-rooms.jpg\"><img class=\"aligncenter size-large wp-image-9523\" src=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Close-indiv-rooms.jpg\" alt=\"\" width=\"308\" height=\"453\" \/><\/a><\/li><\/ul><blockquote><p>Students will receive an on-screen notification to confirm that they will be returning to the main room.<\/p><p>You\u2019ll know that the rooms have successfully closed when their status is set to <strong>Closed<\/strong><\/p><\/blockquote><\/div><\/div><\/div><div class=\"ea-card sp-ea-single\"><h3 class=\"ea-header\"><a class=\"collapsed\" id=\"ea-header-94643\" role=\"button\" data-sptoggle=\"spcollapse\" data-sptarget=\"#collapse94643\" aria-controls=\"collapse94643\" href=\"#\" aria-expanded=\"false\" tabindex=\"0\"><i aria-hidden=\"true\" role=\"presentation\" class=\"ea-expand-icon eap-icon-ea-expand-plus\"><\/i> What can attendees do within a breakout room?<\/a><\/h3><div class=\"sp-collapse spcollapse spcollapse\" id=\"collapse94643\" data-parent=\"#sp-ea-9464\" role=\"region\" aria-labelledby=\"ea-header-94643\"> <div class=\"ea-body\"><h2><strong>What attendees can do in a breakout room\u00a0<\/strong><\/h2><p>Every Breakout Room is a\u00a0<strong>full Teams meeting\u00a0<\/strong>with recording, sharing content, chat, Whiteboard and Together mode.<\/p><p>Within a breakout room students can<\/p><ul><li><strong>Text chat<\/strong> with one another within the chat panel. This chat is accessible after the session to participants in that breakout group, as well as the meeting organiser.<\/li><li>Use <strong>mic<\/strong> and <strong>video<\/strong> to communicate within the breakout group.<\/li><li>Collaborate on a <strong>Whiteboard<\/strong><\/li><li>Collaborate on <strong>documents<\/strong> or <strong>notebooks<\/strong><\/li><li>Share <strong>files<\/strong><\/li><li><strong>Screenshare<\/strong><\/li><li><strong>Record<\/strong> their breakout room. Recordings will be available in the chat panel and in Microsoft Stream after the session. The meeting organiser and the person who initiated the recording will be the owners of the recording and the other room participants viewers:<\/li><\/ul><p><a href=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Stream-permissions-1.jpg\"><img class=\"aligncenter size-full wp-image-9515\" src=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Stream-permissions-1.jpg\" alt=\"Screenshot showing viewing permissions for a video recorded in Teams breakout rooms. \" width=\"800\" height=\"430\" \/><\/a><\/p><blockquote><p><strong>Avoid sharing room recordings via the chat panel &gt; Share<\/strong>. It can be easy to accidentally share the recording with the entire organisation. Instead, use Stream permission controls to set who is able to see the recording. For more information on Stream's permission controls, see our help article, <a href=\"https:\/\/sites.reading.ac.uk\/TEL-Support-Staff\/2020\/11\/11\/share-stream-videos\/\">Sharing Stream Videos With Your Blackboard Course.<\/a><\/p><\/blockquote><h2>Students moving between the breakout room and the main room<\/h2><ul><li>If allowed by the session owner when setting up the rooms, students can return to the main room themselves, e.g. to ask a question. They should be careful to choose <strong>Return<\/strong> to come back to the main room, however. Choosing <strong>Leave<\/strong> will remove them from the entire session and they will need to rejoin:<\/li><\/ul><p><a href=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Return-and-leave.jpg\"><img class=\"aligncenter size-full wp-image-9512\" src=\"\/wp-content\/uploads\/sites\/92\/2020\/12\/Return-and-leave.jpg\" alt=\"A screenshot showing the options for participants within a breakout room. Recording are therefor unlikely to be made without the organiser being aware and the situation can be quickly remedied if started in error.
