This project is closely aligned with the Portfolio Review Pathway (PRP), and Blackboard Courses will start using Blackboard Learn Ultra in 2024\/25.<\/p>\n<p><strong>Blackboard Organisations have migrated to Learn Ultra one year ahead of the roll-out of Ultra Courses, i.e. all active Organisations have been using Blackboard Learn Ultra from the start of the 2023\/24 year.<\/strong><\/p>\n<p><a href=\"https:\/\/blogs.reading.ac.uk\/telblog\/files\/2023\/05\/Blackboard-Ultra-Organisation-example.jpg\"><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-11333 size-large\" src=\"https:\/\/blogs.reading.ac.uk\/telblog\/files\/2023\/05\/Blackboard-Ultra-Organisation-example-1024x826.jpg\" alt=\"Example of a Blackboard Learn Ultra Organisation\" width=\"604\" height=\"487\" \/><\/a><\/p>\n<p>&nbsp;<\/p>\n<div id=\"faq\">\n<h2>Frequently Asked Questions<\/h2>\n<h3>Why did Blackboard Organisations move to Ultra early?<\/h3>\n<ul>\n<li>As a low-stakes Phase 1 deployment (organisations are supplementary to students\u2019 formal learning, and there is no summative assessment on organisations).<\/li>\n<li>To allow staff in Schools and Support Centres to gain familiarity with managing Ultra organisations, which can then be applied to the setup and management of Ultra Courses.<\/li>\n<li>To avoid the need for staff to migrate both courses and organisations to Ultra at the same time, in 2024.<\/li>\n<li>To give student users a first taste of using Blackboard Ultra.<\/li>\n<li>To allow TEL &amp; DTS staff to enhance their knowledge and experience of Ultra, so as to improve the support provided for the roll-out of Ultra courses.<\/li>\n<\/ul>\n<h3>What is happening to old Organisations?<\/h3>\n<p>In the week beginning 11<sup>th<\/sup> September 2023, DTS made all Blackboard Original Organisations unavailable. From that point, only Blackboard Ultra Organisations should be in use with students.<\/p>\n<p>Subsequently, Original Organisations will be disabled, and then deleted from Blackboard.<\/p>\n<h4 id=\"timeline\">Timeline<\/h4>\n<table style=\"width: 100%\">\n<tbody>\n<tr>\n<td style=\"width: 30%\">11<sup>th<\/sup> September 2023<\/td>\n<td style=\"width: 70%\">All Original organisations automatically set as Unavailable<br \/>\ni.e. students no longer able to access them.<\/td>\n<\/tr>\n<tr>\n<td style=\"width: 30%\">15<sup>th<\/sup> January 2024<\/td>\n<td style=\"width: 70%\">All Original Organisations disabled (except External Examiner Organisations)<br \/>\ni.e. neither staff nor students will be able to access them.External Examiner Organisations made unavailable.<\/td>\n<\/tr>\n<tr>\n<td style=\"width: 30%\">26<sup>th<\/sup> July 2024<\/td>\n<td style=\"width: 70%\">All Original Organisations will be permanently deleted from the Blackboard system.<\/p>\n<p>(with the exception of External Examiner and Periodic Review Organisations, and any other special cases where an exception has been agreed)<\/p>\n<p>No backup will be taken before these organisations are deleted.<\/td>\n<\/tr>\n<\/tbody>\n<\/table>\n<h3><strong>How can I ensure my External Examiner Organisation is available beyond September 2023?<\/strong><\/h3>\n<p>We are well aware that Blackboard organisations for External Examiners are a special case, operating on a different timescale to other, student-facing organisations, and the organisations you are using now need to be kept available to your external examiners until later in the Autumn term. Original External Examiner organisations will not be set as unavailable in September &#8211; timeline for retiring these organisations tbc.<\/p>\n<p>If you are responsible for an External Examiner organisation, please <a href=\"https:\/\/www.reading.ac.uk\/blackboard\/bbcopy\/Home\/OrganisationRequest\">submit a request<\/a> for an Ultra version, which you can then start to prepare for the 2023\/24 academic year and beyond. The new organisation will be created as a copy of a standard template &#8211; see our <a href=\"https:\/\/sites.reading.ac.uk\/tel-support\/2023\/08\/01\/external-examiner-organisations\/\">guidance on structuring External Examiner Organisations<\/a>.<\/p>\n<h3><strong>What if I need to retain content from my current Organisation for archive purposes?<\/strong><\/h3>\n<p>If there is content on your Original organisation which is no longer required for students, but which you need to retain beyond January 2024, you should download a copy and store this securely in SharePoint \/ OneDrive.\u00a0You can download single files directly from the course; or you can zip up and download multiple files from the course Content Collection \u2013 see <a href=\"https:\/\/sites.reading.ac.uk\/tel-support\/2021\/08\/09\/blackboard-using-the-fileshare\/#download\">Download files<\/a>.<\/p>\n<h3><strong>How can I tell which Organisations I am enrolled on?<\/strong><\/h3>\n<p>Go to the Organisations page in Blackboard.<\/p>\n<p>You can filter the list to show Organisations where you are<\/p>\n<ul>\n<li>A Leader (Organisations I lead)<\/li>\n<li>An Assistant or Builder (Organisations I support)<\/li>\n<li>A Participant (Organisations I participate in)<\/li>\n<\/ul>\n<p><a href=\"https:\/\/blogs.reading.ac.uk\/telblog\/files\/2023\/05\/Filter-Organisations.jpg\"><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-11331 size-medium\" src=\"https:\/\/blogs.reading.ac.uk\/telblog\/files\/2023\/05\/Filter-Organisations-256x300.jpg\" alt=\"Screenshot of the Organisations page showing how to filter the list\" width=\"256\" height=\"300\" \/><\/a><\/p>\n<h3><strong>Can I convert an Original Organisation to Ultra?<\/strong><\/h3>\n<p>No. This is not possible \u2013 you need to <a href=\"https:\/\/www.reading.ac.uk\/blackboard\/bbcopy\/Home\/OrganisationRequest\">request<\/a> and build <strong>a new Ultra organisation<\/strong>.<\/p>\n<h3>What do I need to consider and how do I build my new Organisation in Ultra?<\/h3>\n<p>See <a href=\"https:\/\/sites.reading.ac.uk\/tel\/building-your-ultra-organisation\/\">Building your Ultra Organisation<\/a> for guidance.<\/p>\n<h3><strong>Can I copy content from an Original Organisation to my new Ultra organisation?<\/strong><\/h3>\n<p>Yes. See <a style=\"letter-spacing: 0px\" href=\"https:\/\/sites.reading.ac.uk\/tel-support\/2023\/04\/12\/ultra-copy-content\/\">Copy Content<\/a>.<\/p>\n<h2>Requesting an Ultra Organisation<\/h2>\n<p><em>Please liaise with colleagues in your School \/ Support Centre to agree what organisations\u00a0 are required, and to avoid duplication of effort.<\/em><\/p>\n<p>For each organisation that you need in 2023\/24 and beyond, you will need to complete an <strong><a href=\"https:\/\/www.reading.ac.uk\/blackboard\/bbcopy\/Home\/OrganisationRequest\">Ultra organisation request form<\/a><\/strong>.<\/p>\n<p>You should do this for:<\/p>\n<ul>\n<li>Blackboard Learn Ultra organisations which will replace an existing Original organisation<\/li>\n<li>Completely new organisations<\/li>\n<\/ul>\n<p>The form will collect information on:<\/p>\n<ul>\n<li>Which staff are responsible for the organisation<\/li>\n<li>Which students should be enrolled on the organisation<\/li>\n<li>Which School or department it relates to<\/li>\n<li>The type of organisation (e.g. School \/ Departmental \u2018Briefcase\u2019 organisation, Programme space, central university service)<\/li>\n<\/ul>\n<p>The type of organisation requested will determine which template is used to create the new Blackboard space. All School \/ Departmental organisations will be created from <a href=\"https:\/\/sites.reading.ac.uk\/tel-support\/2021\/07\/20\/school-and-departmental-organisations-recommended-structure-and-content\/\"><strong>a standard template<\/strong><\/a>, to aid consistency across the university. Other types will essentially be a blank space, but with some guidance materials, to provide basic help to staff who are building the new organisation.<\/p>\n<h2>Training , support and staff development<\/h2>\n<p>Support for staff managing Ultra Organisations is now being provided through our TEL Support site.
