{"id":985,"date":"2019-03-20T08:28:29","date_gmt":"2019-03-20T08:28:29","guid":{"rendered":"http:\/\/sites.reading.ac.uk\/tel\/?page_id=985"},"modified":"2026-03-16T12:54:05","modified_gmt":"2026-03-16T12:54:05","slug":"vle-content-management-retention-and-disposal","status":"publish","type":"page","link":"https:\/\/sites.reading.ac.uk\/tel\/blackboard-learn-ultra\/vle-content-management-retention-and-disposal\/","title":{"rendered":"VLE Content Management, Retention and Disposal"},"content":{"rendered":"<p>The <a href=\"https:\/\/sites.reading.ac.uk\/tel\/wp-content\/uploads\/sites\/33\/2024\/05\/BCT056-VLE-Content-Retention-and-Disposal-Policy-v1.4.pdf\">VLE Content Retention and Disposal Schedule<\/a>\u00a0sets out the principles and requirements for managing Blackboard content in line with the University Records Management Policy.<\/p>\n<p>Some of the key points relating to Blackboard Courses are summarised below.<\/p>\n<ul>\n<li>The virtual learning environment exists to support teaching,\u00a0learning and the student experience, not collaboration and content management in general.<\/li>\n<li>Students should have access to their courses for the duration of their studies, so they can refer back to course content and feedback provided by markers; i.e. Blackboard courses should not be made &#8216;unavailable&#8217; when delivery ends.<\/li>\n<li>Courses should be preserved as an academic record once they are completed.<\/li>\n<li>Courses are retained by DTS in accordance with OfS requirements:\n<ul>\n<li>for 5 years after the year in which\u00a0 the course was delivered<\/li>\n<li>plus a further 1 year buffer<\/li>\n<li>and then only deleted if there are no longer active students on the module or programme in RISIS.<\/li>\n<\/ul>\n<\/li>\n<li>Courses are initially retained inside the VLE, subsequently as archive copies, and then deleted:\n<ul>\n<li>For the <strong>first three years<\/strong> <strong>of the retention period<\/strong>, course\u00a0records will <strong>remain on the system<\/strong>, as a <strong>reference copy<\/strong> directly viewable by\u00a0those who had a role in the course while it was active\u00a0(students and staff).<\/li>\n<li>For the <strong>remaining years<\/strong> <strong>of the retention period<\/strong>, course records will be held as an <strong>archive copy<\/strong>.<br \/>\nAccess to\u00a0an archived course will be provided in response to a legitimate query.<\/li>\n<li><strong>At the end of the retention period<\/strong> course records\u00a0will be <strong>removed entirely<\/strong> from any containing system and securely destroyed.<\/li>\n<\/ul>\n<\/li>\n<li>See the <a href=\"https:\/\/sites.reading.ac.uk\/tel\/wp-content\/uploads\/sites\/33\/2024\/05\/BCT056-VLE-Content-Retention-and-Disposal-Policy-v1.4.pdf\">Schedule<\/a> for full details, with worked examples of applicable retention periods.<\/li>\n<\/ul>\n<p>Key points concerning Blackboard Organisations include:<\/p>\n<ul>\n<li>All organisations must have a nominated owner, who is a current employee.<\/li>\n<li>All organisations should be time bound and are provided for an agreed subscription term in response to a legitimate request.<br \/>\nOrganisations will expire at the end of their subscription term, but may be renewed.<\/li>\n<li>Requests for organisation spaces may be refused if not related to teaching and learning or the student experience.
